One receipt, more than one project
A store receipt can contain supplies for several jobs and something personal. Entering the entire receipt against one project makes that project's costs misleading.
Start with the items, not just the receipt total. Keep descriptions, quantities and line amounts. Mark unrelated purchases as excluded, and check how tax and discounts affect the included amount. If a number cannot be read, correct it before saving.
Keep the original receipt as supporting evidence. A receipt image and a structured expense entry serve different purposes: the image shows the purchase, while the entry helps track the job cost. Save a separate copy of important images if they are stored only on your phone.
Do not confuse estimated profit with money received. A document total minus recorded costs is an estimate based on the entries available. It does not automatically include every business overhead, tax or unpaid balance.
AI can help prepare expense lines, but the person doing the job still needs to review the result. Review descriptions, quantities, amounts and exclusions before treating a draft as a project record.
